Director of Administrative Services
Position Description
This new position is for someone looking to apply their skills in administration and management to a mission-driven organization that is in an exciting phase of growth. This position amplifies our work through the development, maintenance, and refinement of smooth and efficient back-end systems. The hire will help the LEAP team continue to shape the organization and drive us towards a cohesive vision of our administrative operations. As such, this position requires self-motivation, enthusiasm, and organized focus. If you have experience working in CRM databases, human resources, financial management, and office management (particularly in a small-team environment), this role presents an opportunity to support building a resilient organization.
This position works closely with LEAP’s teams and programs to meet their diverse needs and address their complex challenges. The ideal candidate is collaborative and communicative, detail oriented, and able to step back and look at the bigger picture to improve our systems. The candidate must have experience in operational and administrative management and fiscal or budget management.
The Director of Administrative Services will be responsible for the administrative side of the organization. This involves handling administrative requirements related to the organization and staffing, working with teams and program managers to standardize and improve our internal systems, and working with the fiscal and grant teams to ensure compliance and improve our internal systems.
The Director of Administrative Services is part of the organization’s Management Team and works with LEAP’s local, regional, and statewide teams to develop, evaluate, and improve our back end systems. In this role, the Director thinks strategically about LEAP’s complex work and systems. The Director must be community centered, committed to food justice and equity, and communicate with transparency and clarity.
This position reports to the Executive Director and supervises the Financial and Office Manager.
Financial Management
- Work with Executive Director and LEAP staff in annual budgeting and planning process; monitor progress and changes to organizational, program and grant budgets; and keep team abreast of the organization’s financial status.
- Work with ED and Director of Support Services to complete budgets and financial reporting for foundation and government grants, including the preparation of required federal and state forms and reimbursement requests.
- Assist program team in complying with grant financial requirements. Track remaining funds available; communicate routinely with program managers regarding available fund balances and spend-down plans and prepare internal and external fiscal reports.
- Work with Board Treasurer and Auditors to update and implement all necessary business policies and accounting practices; improve the organization’s overall policy and procedure manual.
- Work with the Executive Director to facilitate the annual audit and tax processes. This includes working with the external accountant, external auditors, and Financial and Office Manager.
- Work with the Executive Director to manage organizational cash flow and forecasting. Work with the program team and provide financial data to help in forecasting return on investment (ROI) for current and future programs.
Human Resources
- Refine onboarding process for new hires and ensure compliance with new hire and HR reporting requirements. Work with the Financial and Office Manager to maintain personnel files and processes.
- Lead conversations about employee benefits, including administration of plans as needed.
- Work with the Director of Support Services to meet whole-person needs of LEAP team members.
Administration
- Refine and maintain LEAP’s personnel and organizational policies and procedures. Lead annual assessment of policies and procedures, suggest changes as needed.
- Refine and maintain the external contract system. Work with the Executive Director to develop MOUs and contracts.
- Ensure compliance with local, state and federal requirements including annual submissions, fees, and licenses for organizational and program operation
- Lead the implementation and maintenance of Customer Relationship Management (CRM) tool for cross-program, cross-team, and organization wide contacts.
- Work with Marketing and Communications Manager, Program Director, and Executive Director to coordinate asks and promotion of sponsorships for programs and the organization
- Work with Marketing and Communications Manager, Financial and Office Manager, and Executive Director to communicate with and coordinate asks for individual donors.
- Manage all technology and systems
- Support Executive Director with Board Communications and meetings, as needed.
Required Knowledge, Skills and Attributes

- Experience and comfort with computers, Microsoft Office products (especially Excel), databases, Quickbooks, and data management systems.
- A passion for community, local food, farming, and equity.
Additional Information/Requirements
- Bachelor’s degree preferred.
- 5+ years of experience in business, non-profit management, financial management, administrative services, human resources
- This position is salary and year-round. Starting at 30 hours a week with potential to be full-time. Salary range for 30 hours/wk (.75FTE) is $27,000- $37,000 depending on experience
- Position will be housed at LEAP’s offices in Roanoke with some remote work possible.
